This policy explains what personal data we collect, why we collect it, how we protect it, and your rights under applicable law including the Protection of Personal Information Act (POPIA) and the EU General Data Protection Regulation (GDPR).

We use your data exclusively to provide the RenewalScan AI service. Specifically: to authenticate your account, maintain your session, track monthly usage against your plan limit, and detect abuse of the free trial. We do not use your data for advertising, profiling, or any purpose beyond operating this service. Our lawful basis for processing is contract performance (providing the service you signed up for) and consent (which you provided at signup and may withdraw at any time).
We do not sell, rent, or share your personal data with third parties for their own purposes. We use the following processors to operate this service:

Some of our processors are based outside South Africa. Where personal data is transferred internationally, we ensure appropriate safeguards are in place, including standard contractual clauses and adequacy decisions where available, as required by POPIA and GDPR.

All data is transmitted over HTTPS. Passwords are hashed using a salted iterative algorithm and are never stored or transmitted in plain text. Session tokens are cryptographically random and stored securely. We perform automated daily cleanup of expired tokens and sessions. In the event of a data breach, we will notify the Information Regulator and affected users within 72 hours as required by law.
We do not sell, trade, or otherwise transfer your personal data to third parties for commercial purposes. This applies to all users globally.
This service does not use tracking cookies or advertising cookies. We use browser localStorage to store your session token and comparison history locally on your device. This data never leaves your browser except for the session token, which is sent to our servers to authenticate your requests. No cookie consent banner is required as we do not use cookies for tracking or analytics.
This service is intended for use by licensed insurance professionals and is not directed at children under the age of 18. We do not knowingly collect personal data from minors.
We may update this policy from time to time. We will notify you of material changes by email or by a prominent notice on this page. Continued use of the service after changes constitutes acceptance of the updated policy.

This Data Processing Addendum ("Addendum") is entered into between TaskAutomateAI / RenewalScanAI (the "Operator") and the Brokerage/Organisation utilising the Service (the "Responsible Party"). This Addendum governs the processing of Personal Information by the Operator on behalf of the Responsible Party and forms part of the Terms of Service agreement between the parties.
The Operator provides an AI-driven insurance policy comparison service ("the Service"). This Addendum remains in effect for as long as the Responsible Party maintains an active account with the Operator, or until all Personal Information has been permanently deleted from the Operator's systems, whichever is later.
3.1 Processing Relationship: The Responsible Party acts as the Responsible Party (Controller) in respect of Personal Information belonging to their end clients (policyholders). The Operator acts as the Operator (Processor), processing such data solely on the instruction of the Responsible Party for the purpose of delivering the Service.
3.2 Lawful Basis: The Responsible Party warrants that they have a lawful basis under POPIA (and GDPR where applicable) to share their clients' Personal Information with the Operator for the purpose of policy comparison. The Operator accepts no liability for unlawful processing that arises from the Responsible Party's failure to establish a lawful basis.
3.3 Team Access Hierarchy: Owner Access: full visibility of all team records. Admin Access: own records and Member records for oversight. Member Access: own records only.
3.4 Identity Separation: Client Reference names are programmatically separated from the AI processing engine and are not transmitted to any third-party sub-processor.

Upon termination, the Operator shall delete all Personal Information within 30 days unless retention is required by law.
The Operator provides automated tools to assist the Responsible Party in fulfilling Data Subject rights including Access (Export Data), Correction, and Deletion (Delete Account). The Operator will respond to legitimate rights requests within 30 days as required by POPIA.
The Operator shall notify the Responsible Party within 72 hours of becoming aware of a confirmed Personal Information breach, including the nature of the breach, categories of Data Subjects affected, likely consequences, and measures taken to address it.
All international transfers are conducted under appropriate safeguards including Standard Contractual Clauses (SCCs) and binding data processing agreements with each sub-processor, as required by POPIA Section 72 and GDPR Chapter V.
This Addendum is governed by the laws of the Republic of South Africa, including the Protection of Personal Information Act 4 of 2013. Disputes are subject to South African courts.
This Addendum is accepted digitally by ticking the DPA checkbox during account registration. Enterprise subscribers requiring a countersigned copy may contact liam@taskautomateai.co.za.
These Terms of Service ("Terms") govern your use of RenewalScan AI, operated by TaskAutomateAI. By creating an account or using this service, you agree to these Terms.
RenewalScan AI is a B2B tool intended for use by licensed insurance brokers and financial advisors. You may use this service only for lawful professional purposes. You may not resell, sublicence, or provide access to the service to third parties without written permission.
You are responsible for maintaining the security of your account credentials. You are responsible for all activity that occurs under your account. Notify us immediately if you suspect unauthorised access.
You may not use RenewalScan AI to process documents you do not have lawful authority to access, to attempt to reverse-engineer the AI analysis, to upload malicious files, or to circumvent usage limits through automated means.
We aim to provide continuous availability but do not guarantee uninterrupted service. We may perform maintenance at any time. Planned downtime will be communicated where possible.
RenewalScan AI is an analytical tool. The output of any comparison is for informational purposes and should not be relied upon as the sole basis for financial or insurance advice to clients. TaskAutomateAI accepts no liability for decisions made based on comparison output. To the maximum extent permitted by applicable law, our total liability to you for any claim arising from use of this service is limited to the fees you paid in the 30 days preceding the claim.
If you are using this service from outside South Africa, you acknowledge that the service is operated under South African law and that your use is subject to these Terms regardless of your location.
All software, design, and content in this service is owned by TaskAutomateAI. You retain ownership of any documents you upload.
We may suspend or terminate your account for material breach of these Terms. You may cancel your account at any time by contacting support.
These Terms are governed by the laws of the Republic of South Africa. For users located in the European Union, nothing in these Terms affects your statutory rights under EU law. For users located in other jurisdictions, local mandatory consumer protection laws may apply in addition to these Terms.
Your use of this service involves the processing of personal data as described in our Privacy Policy. By using this service you acknowledge that you have read and understood the Privacy Policy. If you are uploading documents that contain personal data of your clients, you confirm that you have the lawful authority to do so and that your clients have been informed in accordance with applicable data protection law.

What file types are supported?
RenewalScan AI accepts PDF files only. Both text-based and digitally generated PDFs work. Scanned image-only PDFs are not supported — the text must be extractable.
Are password-protected PDFs supported?
Yes. Enter the PDF password in the field below the upload zone before running the comparison.
How long does a comparison take?
Most comparisons complete in 30–90 seconds depending on document length and AI processing time.
Where is my comparison history stored?
Your 20 most recent comparison results are stored in your browser's local storage, tied to your account. They persist across browser restarts but will be cleared if you clear your browser data.
What happens to the PDFs I upload?
Only the extracted text from your PDFs is sent to our AI for analysis. The raw PDF files are never uploaded to our servers. Extracted text is not stored after processing.
I hit my comparison limit. What do I do?
Visit the Plans page to choose a subscription, or email us at support@taskautomateai.co.za. Upgrades take effect immediately.
Can I view a past comparison result?
Yes — click the "View" button next to any comparison in your dashboard history to re-open the full result.
For billing queries, plan upgrades, or cancellations, email support@taskautomateai.co.za with your account email address.
